Online Day Camp Registration: A 2026 Guide for Canada

How Canadian day camps move registration online: forms, waivers, payments, and waitlists. A practical setup guide for the 2026 season.

October 12, 20267 min read

Paper forms and email threads do not scale past a few dozen families. The moment registration opens, you are chasing missing waivers, re-keying details into a spreadsheet, and fielding “did my payment go through?” emails. Moving registration online fixes the bottleneck, but only if the flow is built around how families actually sign up: on a phone, often for more than one child.

This guide walks through what an online day camp registration flow needs in 2026, in the order a parent experiences it.

Start with one shareable link

Your registration should live at one public link you can drop into an email, a Facebook group, or a QR code on a flyer. The parent lands on a page that shows your programs, prices, and availability, then walks them step by step to confirmation. Families do not need to create an account, download a PDF, or call the office.

If you run more than one location, each site needs its own link so the right sessions, taxes, and cancellation rules apply automatically.

Collect the details once, reuse them everywhere

Ask for these details once, on the registration form, and use them all season:

  • Child name, date of birth, and the program or session they are joining
  • Guardian contacts, plus any question you add, such as who may pick the child up
  • Allergies, medications, and medical notes that staff need at check-in
  • Emergency contact, and accessibility needs if you add that question

For families enrolling siblings, let them add multiple children in one registration instead of running the form four times. It is a common point where families give up.

Put waivers and consent in the flow, not after it

Do not send waivers by email after registration. Collect e-signatures inside registration, before payment, so a confirmed booking always has a signed waiver attached. Photo consent, medical authorization, and code-of-conduct acknowledgements belong here too. See our guide on camp waivers and consent forms in Canada for what to include.

Take payment at the point of registration

Collecting fees during signup, rather than invoicing afterward, means a confirmed spot is a paid spot. At minimum you want:

  • Card payment with an instant emailed receipt
  • An automatic sibling discount, and promo codes for early-bird or returning families (promo codes are on the Team plan and up)
  • Tax applied at the rate you set, which can differ by location
  • Payments routed to your own account, per location

Money should land in your own bank account, not sit with a vendor until a monthly payout.

Let waitlists do the follow-up

Popular weeks fill first. Instead of turning families away, a waitlist captures demand and, when a cancellation frees a spot, automatically moves the next family up and emails them. For a paid program, the email asks them to pay from their portal to keep the spot. That recovers revenue you would otherwise lose and tells you which programs to expand next season.

What good looks like

A parent opens your link on their phone, picks a week, adds two kids, signs the waiver, pays, gets a confirmation email, and adds the dates to their calendar, all in under three minutes. Your roster updates in real time, the medical notes are ready for check-in day, and nobody re-typed anything.

Campix gives day camps, after-school programs, and youth sports exactly that flow. Start free or see plans and pricing.
