Small Camp Management Software in Canada: 9 Criteria

A buyer's checklist for Canadian camps comparing management software: payments, waivers, check-in, taxes, French support, pricing, and data ownership.

October 12, 20268 min read

Most camp software demos look the same: a tidy registration form and a dashboard full of charts. The differences that matter during the season show up in the details. Here is a checklist built for Canadian day camps, after-school programs, and youth sports organizations, in rough order of how much it will affect your season.

1. Where the money lands, and what it costs

Find out whether payments go straight to your own account or sit with the vendor until a payout. Ask for the all-in cost: platform fee, per-transaction fee, and any charge for features locked behind a higher tier. A low headline price with a high transaction cut can be the more expensive option once you do real volume.

2. Waivers and consent built in

E-signatures should be part of registration, not a separate tool you bolt on. Confirm that a booking cannot complete without the required waiver, and that photo and medical consent are captured separately. See our waivers and consent guide.

3. Check-in and attendance that works on the day

Watch a check-in demo on a phone. Can a counselor check a group in quickly, see medical alerts, and record who picked up each child? A QR or kiosk check-in removes the morning lineup. Check that a counselor can take attendance for a group in under a minute. To see how six check-in tools compare, read our camp and sports check-in software comparison.

4. Canadian taxes and currency, handled

The software should price in Canadian dollars and let you set your tax rate and label cleanly, not as a hack. If you operate in more than one province, you want to set that rate for each location rather than being stuck with one global setting.

5. Bilingual where you need it

If you serve French-speaking families, the parent-facing pages and emails should be available in French, not just the admin panel. Ask specifically about the registration flow and confirmation emails.

6. Multi-location without multi-headache

Running several sites should mean one login with a location switcher, separate registration links and payouts per site, and roll-up reporting across all of them. If each location needs its own account, that will fight you as you grow.

7. Communication with families

Look for automatic registration confirmations, payment receipts, and program recaps, an on-demand way to remind families who still owe, and a way to send an announcement to a group. Also check that families can unsubscribe by category.

8. Your data is yours

Confirm you can export your campers, registrations, attendance, and financials to CSV whenever you want. Ask the vendor to show you an export during the demo.

9. Pricing that matches your size

A single-site summer camp and a multi-location network have different needs. The right vendor has a free or low tier you can actually run a small program on, and clear steps up as you grow, without surprise jumps. Compare on total cost at your real volume, not the sticker price.

If you run a small camp

A camp with one site, a handful of programs, and a few hundred families needs three things from this list first: payments that land in your own account, waivers inside registration, and a plan that does not charge you for features you will never use. On Campix, Solo is free for 1 site, 3 programs, and 100 participants. Team is $79 a month for 2 sites, 10 programs, and 500 participants.

How Campix scores

Campix is built for Canadian operators: payments routed to your own account per location, waivers and separate photo consent in the registration flow, phone-friendly check-in (with a QR kiosk on the Team plan and up), pricing in Canadian dollars with a tax rate you set per site, French parent-facing pages and emails, one login for all your sites (2 on Team, 5 on Multi-site, unlimited on Network), automatic confirmations and receipts, CSV export of your campers and registrations on every plan (attendance from Team, transactions from Multi-site), and a free plan to start. Try it free or compare plans.
